General terms and conditions for the use of the Open Access repository of the university libraries in Saxony-Anhalt - Share_it

Scope and purpose of the service
Share_it is the central service for storing, archiving and making accessible publications (e.g. Open Access publications, secondary publications, grey literature) and other research results from universities and higher education institutions in Saxony-Anhalt. Share_it is operated by the University and State Library of Saxony-Anhalt (ULB) at the Martin Luther University Halle-Wittenberg. Share_it makes scientific documents and other research results available in compliance with recognized standards. In addition, the permanent storage, retrievability and citability of these objects is ensured.
Share_it offers members of our partner universities the organizational and technical framework for the electronic publication of scientific documents. The copyrights of the authors are preserved.
Several types of research outputs from members of our institutions are stored and made available via Share_it in the spirit of Open Access. These include:
- Scientific publications, e.g. journal articles (also pre-prints), monographs, individual chapters from monographs, research reports, etc.
- Dissertations and other postdoctoral qualification documents (Habilitationen) published in accordance with the requirements and regulations of the respective examination authorities
- Research data (currently only for MLU members under the conditions specified in the MLU's Digital Preservation Policy).

Legal framework for publishing content in the repository
A publication in Share_it requires the permanent transmission of the simple rights of reproduction and public access by the author(s) to the operators of the repository. The authors are unrestrictedly free to publish the research result elsewhere in print or electronically before or after publication, if necessary in modified form or in excerpts.
The transmission of the simple rights of use entitles the operators of the Share_it repository to permanently: 1) make electronic copies of the digital object(s) publicly available and, if necessary, to convert these into other formats; 2) register and distribute the digital objects to third parties, for example, in the context of obligatory registration to national collections, and for the purpose of long-term archiving.
In order to regulate the transfer of the necessary usage rights from the authors to the operator, an open content license (e.g. Creative Commons licenses, software licenses) must be selected when uploading a digital object to Share_it. In addition, other ad hoc deposit licenses are offered.
Submission and indexing
The submission of digital objects for the purpose of publication in Share_it is usually done via the upload form offered on the repository. Registration is required. The following data from users will be stored in the system upon registration: Name, first name and e-mail address. In this document (German only) you can find detailed information about the handling of personal data in Share_it.
Users of partner institutions that do not offer a self-submission form to upload materials, should contact a designated contact person at their library to enquiry about alternative options to upload their contents.
Nationally and internationally defined standards and interfaces are used for the formal and content indexing of digital objects. Authors enter the metadata of their publications into an upload form. This metadata is checked by library staff at the relevant university and, if necessary, corrected and supplemented.
Making result accessible on the Internet
The operator of Share_it, the University and State Library of Saxony-Anhalt (ULB) at the Martin Luther University Halle-Wittenberg, supports and promotes Open Access in the sense of the Berlin Declaration as a strategic goal (MLU Open Access Policy – German only). The respective contact persons in each library of the partner universities advise their authors on the publication of scientific Open Access formats and on publisher-independent Open Access publication options.
The metadata of digital documents stored in Share_it is freely available on the Internet (under a CC0 license). The metadata may be accessed, stored and made available to third parties via the repository's open OAI interface.
As a rule, all digital documents are freely accessible after publication. Exceptions must be discussed with the operators and the designated contact person at the partner institutions.
To ensure permanent access to our digital objects, they are given persistent identifiers in the form of Digital Object Identifiers (DOI), which are registered with DataCite.
Once published, digital objects are not deleted from the server. If there is a compelling legal reason, online access to materials can be restricted.
The repository provides a search function in both the bibliographic metadata and the full text. The contents of the repository are searchable in regional and national library catalogs, search engines and various open access directories and databases.
